If you travel often for your job, you are bound to have time where your co-workers will join you. It’s one thing to work with someone but traveling with co-workers can create some tense and uncomfortable situations. Before you take your next trip with a co-worker, here are a few things you should consider when preparing for the trip.
Look for discounts. Let the travel agent or staff member making the travel arrangements know how many people are in the group. Depending on the number of people traveling, you may be able to save money by looking for group discounts. This small gesture can also earn extra points with the boss showing you are mindful of the companies budget.
When considering how you will travel, don’t rule out chartering a private jet. If you have several people from your company going on the trip, it may be worth it. Flying on a private jet costs a lot less than you think and can save you the hassle that comes with being at a major airport.
Exchange information. Be sure to exchange contact information with everyone you are traveling with. Get both a cell phone number and email address for everyone traveling with you. Also know the name, address, phone number, and email address of the individual(s) you are meeting with. If anyone in your group gets lost you can also establish a connection point using the phone number and address of one of the people/companies you will be meeting with.
Pack Smartly. Pack as light as possible. If you are flying, this will enable you to get through security faster. When traveling with co-workers, they will appreciate that. Adhere to baggage limitations such as size, weight restrictions, and the number of carry-on and checked bags.
Which way do you go? Make your reservation for the rental car ahead of time to reduce the amount of time spent waiting to pick up the car. Know exactly where your hotel is and the location of all the offices you will be visiting. Map out your route knowing exactly where you need to go taking into consideration the time of day when you will be traveling. Have an alternate route mapped out just in case you run into traffic.
Research. Spend time researching the area you are traveling to. Know the local attractions, best restaurants, and shopping areas so you can make recommendations to the rest of the team. Think about what teams members like to do and try to make recommendations that appeal to everyone.
Taking these steps prior to the trip will reduce some of the tension that can be created when traveling with co-workers. It will also show you took the time to plan ahead and make the process smoother and more enjoyable.
